Business Headshots Usage & Licensing
Business Headshots are created to represent you professionally — who you are, what you do, and how you present yourself in a business context. They are not intended to function as advertising campaign assets by default.
This page explains what usage is included with Business Headshots at Idaho Photography Studios, what is not included, and how licensing can be expanded when your usage goes beyond standard professional representation.
All Business Headshot imagery is subject to our studio’s global copyright and image usage policies. This page provides service-specific clarity for Business Headshots.
What This Page Covers
This page applies to Business Headshots, including (but not limited to):
- Individual professional headshots
- Realtor and agent headshots
- Executive and leadership portraits
- Small team and staff headshots
- On-location and studio business headshots
Usage rights are determined by how images are used, not by profession or industry.
This page does not apply to advertising campaigns, brand campaigns, or promotional photography beyond standard professional representation. Those projects fall under Commercial Photography and are licensed separately.
Standard Usage Included with Business Headshots
Unless otherwise specified in writing, Business Headshots include a usage license for ongoing professional business representation, including:
- LinkedIn and professional networking profiles
- Personal or company website bios and “About” pages
- Team and staff pages
- Business cards
- Email signatures
- Internal company directories
- Speaker introductions and professional profiles
- Listing materials, brochures, flyers, and informational print pieces
- Basic, non-paid public relations placements (articles, announcements, features)
These uses are considered identity-based professional representation, not advertising.
Usage Not Included by Default
The following uses are not included with standard Business Headshot licensing:
- Paid advertising of any kind
- Sponsored or boosted social media posts
- Lead-generation or marketing campaigns
- Google Ads, display ads, or retargeting ads
- Billboards, signage, or large-scale promotional displays
- Product endorsements
- Franchise, resale, or third-party reuse
- Stock photography use
If your intended use falls into any of these categories, expanded licensing is required.
Paid Advertising Usage (Important)
Business Headshots are not licensed for paid advertising by default.
Paid advertising includes any use where money is spent to promote or distribute an image, including (but not limited to):
- Google Ads
- LinkedIn Ads or sponsored posts
- Facebook, Instagram, or other social media ads
- Boosted posts using paid distribution
- Print advertising with paid placement
If a Business Headshot will be used in paid advertising, an expanded advertising license must be arranged.
Paid Advertising licenses are:
- Quoted separately
- Limited by scope and platform
- Time-bound based on the advertising period
This distinction preserves a clear line between professional representation and commercial advertising use.

Q: I’m advertising my own business — is that considered paid advertising?
Yes, if you are paying to promote or distribute the image. Advertising is defined by paid distribution, not by who or what is being promoted. If money is spent to push the image to an audience, it is considered paid advertising.
Q: I am the brand or the service — does that change anything?
No. Licensing is based on how the image is used and distributed, not on whether the person photographed is the product, service, or brand.
Q: Is using my headshot on business cards, listings, or my website considered advertising?
No. Business cards, website bios, team pages, listing materials, and organic (non-paid) social media posts are considered standard professional representation and are included.
Q: What specifically triggers the need for an advertising license?
If money is spent to promote or distribute the image — including ads, boosted posts, sponsored placements, or paid media campaigns — a paid advertising license is required.

How to Read This Chart (One Sentence)
If money is paid to promote or distribute the image through advertising platforms or paid placements, it is considered paid advertising. Paying for printing, membership access, or listing participation is not advertising.
License Duration
Standard Business Headshot usage licenses are granted for ongoing professional representation within the scope defined on this page. These licenses do not expire based on time.
Paid Advertising licenses, when applicable, are granted for a defined term (typically 12–36 months) and do not extend beyond the agreed advertising period without renewal.
Team & Company Usage
Business Headshots commissioned by a company may be used by that company for internal and outward-facing professional representation (such as team pages, bios, directories, and business materials), provided usage remains within the scope outlined above.
Images may not be transferred, sold, or reused by:
- Outside vendors
- Marketing agencies
- Franchise partners
- Third-party platforms
without written permission or an expanded license.
Proofs vs. Final Delivered Images
Proof images are watermarked and provided for review and image selection only. Proofs may not be posted, shared, or used publicly.
Final delivered Business Headshot images are provided once selected images have been purchased and licensing has been confirmed. Business Headshot finals are typically delivered without a studio watermark, unless otherwise requested or required for a specific deliverable.
Image Alterations & Modifications
Minor formatting adjustments (such as cropping or resizing) are permitted.
Alterations must remain within reasonable limits and should not exceed approximately 10–15% visual deviation from the original delivered image.
The following are not permitted without written approval:
- Heavy filters or stylized effects
- AI-based facial or body alterations
- Background replacement or object removal
- Composite imagery
- Any edit that materially alters or misrepresents the original work
Additional edits or variations may be requested and quoted separately.
Copyright & Ownership
Idaho Photography Studios retains copyright ownership of all images. Business Headshots are licensed for use — not sold outright.
